Project Administrator - Roofing & Gutters - Alpharetta, GA

Our company is growing and we have an immediate opening in our Alpharetta, Georgia Branch for a Project/Procurement Administrator! The Project Administrator is responsible for the administrative processes of purchase orders, invoices and/or contract documents in the Roofing & Gutters Departments.

The ideal person would be a self-starter, highly organized, and who has good communication and collaboration skills and experience multi-tasking and resolving issues with a positive attitude, solid, clear communication and collaboration.

    • Prepare purchase orders and send copies to suppliers and to departments originating requests.
    • Determine if inventory quantities are sufficient for needs, ordering more materials when necessary.
    • Respond to customer and supplier inquiries about order status, changes, or cancellations.
    • Perform buying duties when necessary.
    • Contact suppliers in order to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems.
    • Review requisition orders in order to verify accuracy, terminology, and specifications.
    • Review and Match Invoices to corresponding purchase orders.
    • Compare prices, specifications, and delivery dates in order to determine the best bid among potential suppliers.
    • Track the status of requisitions, contracts, and orders.
    • Calculate costs of orders, and charge or forward invoices to appropriate accounts.
    • Check shipments when they arrive to ensure that orders have been filled correctly and that goods meet specifications.
    • Compare suppliers' bills with bids and purchase orders in order to verify accuracy.
    • Approve bills for payment.
    • Locate suppliers, using sources such as catalogs and the internet, and interview them to gather information about products to be ordered.
    • Monitor in-house inventory movement and complete inventory transfer forms for bookkeeping purposes.
    • Monitor contractor performance, recommending contract modifications when necessary.
    • Communicate needed revisions with subcontractor and occasionally communicate with their insurance company to obtain needed documents
    • Answer phones and transfer calls when needed as back-up to receptionist
  • Required Skills/Competencies
    • Strong Computer Skills - Proficient in Microsoft Excel, Outlook, Publisher, Word and Adobe Acrobat Reader
    • Attention to detail
    • Solid English verbal and written communication skills, Bilingual in Spanish is a Plus
    • Self-motivated, team-player able to work with all levels
    • Must be able to complete and pass a pre-employment drug test

    Education and Experience

    • High School Diploma, GED or equivalent required
    • Bilingual in English and Spanish is Strongly Preferred
    • SalesForce experience is a plus

    Physical Requirements

    • Must be able to sit, stand, talk, or hear for long periods of time throughout an 8-hour workday
    • Must be able to use repetitive hand motion, reach and bend
    • Must be able to lift up to 20 lbs.
    • Must be available to work in the office.
